This notice explains how Zenora Software ("Zenora", "we", "us") handles personal information collected through zenorasoftware.com. We take care with what you share with us and handle it in line with South Africa's Protection of Personal Information Act (POPIA).

1. Who we are

Zenora Software is based in Cape Town, South Africa, and builds operations software for safari lodges and camps. For information collected through this website we are the "responsible party" under POPIA. You can reach us, and our Information Officer, at develop@zenorasoftware.com or +27 76 497 5357.

2. What this notice covers

This notice covers this website only. When a lodge or camp uses Zenora software to run its operation, the lodge decides what guest and staff information is captured and why. In that case the lodge is the responsible party and Zenora acts as its operator, processing that information only on the lodge's instructions and under a written agreement. If you are a guest or staff member of a lodge and want to see or correct information held in its systems, please contact the lodge first. We will help the lodge respond.

3. Information we collect

Information you give us. When you send an enquiry through our contact form we collect your name, your email address, and whatever you choose to tell us about your lodge, such as its size, the reservation system you use and your message. If you email or call us, we keep the details you share in that conversation.

Information collected automatically. We use Google Analytics to understand how the site is used. This records things like the pages you visit, your approximate location, the type of device and browser you use and how you reached the site. Our hosting and security providers may also process technical data such as IP addresses and request logs to keep the site running and secure.

What we do not ask for. Please do not send ID numbers, payment card details or other sensitive information through the contact form or by email. We will never ask you to.

4. How we use it

We use personal information to:

  • reply to your enquiry and arrange a demo or conversation
  • understand how the site is used and improve it
  • keep the site secure and prevent misuse
  • meet our legal obligations and protect our rights

We reply to you because you asked us to. For improving and securing the site we rely on our legitimate interest in running a safe, useful website. We do not sell personal information.

5. Who we share it with

We share personal information only with service providers who help us run the site and handle enquiries, and only as needed for that purpose: our website hosting and platform provider, our database and backend provider (Supabase), our email delivery provider and Google (Analytics). We may also disclose information when the law requires it. These providers may process information in other countries. Where that happens we take reasonable steps to make sure the information stays protected to a standard comparable to POPIA.

6. Cookies and analytics

Google Analytics uses cookies or similar technologies to recognise returning browsers and measure visits. We use it to measure how the site is used, not to advertise to you. You can limit or block cookies in your browser settings, or install Google's Analytics opt-out browser add-on. Blocking cookies will not stop you using the site.

7. How long we keep it

We keep enquiry details for as long as we need them to respond to you and manage any resulting relationship, and then delete or de-identify them. Analytics data is kept for the period set in our Google Analytics account.

8. Keeping it safe

We use reasonable technical and organisational measures to protect personal information from loss, misuse and unauthorised access, including access controls and encrypted connections. No system is completely secure, so we cannot promise absolute security. Where the law requires it, we will notify the people affected and the Information Regulator if something goes wrong.

9. Your rights

Under POPIA you can ask us to: confirm whether we hold personal information about you and give you a copy; correct or delete information that is inaccurate, out of date or no longer needed; stop using your information for a purpose you object to; and withdraw consent where we relied on it. To make a request, email develop@zenorasoftware.com. We may need to confirm your identity first, and we will respond within a reasonable time.

If you are unhappy with how we have handled your information, you are entitled to complain to the Information Regulator (South Africa) at inforegulator.org.za. We would appreciate the chance to put things right first.

If you are in another country, you may have similar rights under your local law, such as the GDPR or Botswana's Data Protection Act, and we will respect them where they apply.

10. Children

Our website is for lodge and hospitality businesses and is not aimed at anyone under 18. We do not knowingly collect information from children.

11. Changes to this notice

We may update this notice from time to time. The date at the top shows when it last changed.
