Why Safari Lodge Software Pricing Is Rarely Transparent
Safari lodge operations software should have a number you can budget — not a quote wall built for city hotels. How Zenora prices LodgeFlow, BarFlow and the modules, and what actually changes the cost in camp.
Budgeting for technology in a remote camp is not the same as outfitting a city hotel. Seasons swing, supply runs are expensive, and you already pay a premium to operate off-grid. An opaque software contract on top of that is friction you do not need. You should see the cost of safari lodge operations software before you book a conversation. Predictability in the back office matters the same way water pressure matters to a guest. Why the number is usually hidden Most hospitality vendors will not publish a price. Their systems were built for urban properties, so a bush camp only works after heavy custom work. You end up funding a hotel PMS forced to fit the wild — paying for development that should already have been done, not for the problems you have this season. That opacity drags operators through long sales cycles just to get a figure for the annual budget. A twenty-room camp in the Okavango does not need what a large resort near Kruger needs. Pricing that ignores that is not “enterprise.” It is a poor fit. What we actually charge These are the figures on the site today. We confirm the final amount once we understand how the property runs — rooms, modules, how many camps, how messy the opening data is. We do not invent a new tariff because you are on VSAT. LodgeFlow — from $265 per lodge / month. Setup from $250 per lodge. Daily operations: dashboard, transfers, activities, guides and vehicles, rooming and housekeeping, multi-lodge itineraries, guest portal, offline use, reporting. BarFlow — $99 per lodge / month. Setup $100. Bar and kitchen POS: tabs, rooms, kitchen tickets, stock, transfers, wastage, shifts. Sold on its own or next to LodgeFlow. Add-on modules (switch on when you need them):
TeamFlow — from $100 / month StockFlow — from $40 per lodge / month SalesFlow — from $150 / company / month AssetFlow — from $75 / month FleetFlow — from $30 per lodge / month
A single lodge is typically live in three to five days if the opening data is clean. A group can take longer because each camp is set up on its own terms, not cloned. You do not have to buy the whole suite. If kitchen leakage is the problem this year, start with BarFlow or StockFlow. FleetFlow can wait. What actually moves the price Which parts of the day you put on the system. Monthly spend should follow the departments you are bringing online, not a blunt fee on bed count. LodgeFlow can run housekeeping and transfers while asset and fleet tracking stay off until service delivery is stable. Adding a module later is not meant to trigger a new “tier” or a rewritten contract. How many properties, and how they work. One camp is straightforward. Several camps with different room lists, store rooms and rosters takes more setup. Reporting can still roll up across the group. Opening data and training. Dirty room lists, half-finished stock sheets and a team that has never used a till will cost time. That is why setup is a separate line, and why we say “from.” Connectivity is a product problem, not a surcharge. Systems that assume fibre fail when the link drops. LodgeFlow and BarFlow are built so daily work continues and updates reach the office when you are back on signal. We do not charge extra for “being remote.” Setup may take longer if camps only sync when someone comes in from the field. You are not billed a special satellite SKU. Data that arrives late and complete is more useful than a live dashboard nobody can open in a storm. What you should not pay for
Features built for conference centres and city front desks A mandatory demo before you are allowed to see a number A suite where most of the product sits unused A lock-in clause on your own operational data — yours stays yours; we export it when you ask
If a vendor cannot put a starting figure on a page, assume the real cost appears after you are already in the process. A straight way to budget
Price LodgeFlow for each lodge you will actually switch on this year. Add only the modules that fix a current bottleneck. Add BarFlow if the bar or kitchen is a separate problem. Put setup on the capex / project line, not in the monthly run rate. Leave a small contingency for messy data and extra training — not for mystery licence tiers.
Then come and talk. We start with how the camp runs, then confirm the number. No quote theatre.
